Migrate to Enterprise with Confidence

Preparing to migrate from the Legacy portal to the Enterprise portal can be both exciting and challenging. This article provides an overview of essential actions that must be completed before migration day and what to expect during the process. Complete these steps to help ensure a successful migration.

 

Migration Qualifiers

In order to meet beta participation requirements, several important tasks must be finalized:

  1. Complete Enterprise Training - All team members who have been identified as champions must complete all online training modules to ensure they understand the basics of the Enterprise portal and are familiar with the key functionalities they’ll use. 
  2. Integration Configuration - Ensure your Single Sign-On (SSO) and/or Learning Management System (LMS) integrations have been completed, if applicable.
     

    Only the integrations that currently exist in your Legacy portal will be configured in your Enterprise portal. If you wish to add-on new integrations to your Enterprise portal, this will need to be initiated via your Customer Success Manager and after the migration has concluded.   3. Establish Portal Blackout Dates - As part of the migration process, your team will not be able to use either portal for 3 business days. This includes the day before, the day of, and the day after data migration. 

Completing these tasks helps reduce the risk of delays and ensures a smoother migration experience. The above tasks are all required in order for you to qualify for participation in the migration beta program.

 

Complete Enterprise Training for Migrations

Building confident Enterprise portal users is an integral part of a successful migration. All team members who have been identified as champions must complete all Enterprise training modules at least 3 business days prior to the migration date. 3-Day Portal Blackout 

The 3-day blackout period pauses all activity in both Legacy and Enterprise portals to ensure accurate and complete data migration. Any use of the portals during this time could lead to migration failure or data discrepancies. This phase is critical to the migration process.

Once the blackout period starts, your team will no longer perform any tasks in the Legacy portal, even after the blackout period has ended. From this point forward, all operations will be completely only in the Enterprise portal.

During Portal Blackout:

  1. Notify All Users - Communicate the blackout period dates and provide reminders so that no one inadvertently schedules testing, adds, or changes content.
  2. Plan for Downtime - Ensure all recent post-exam adjustments and data updates have been completed in the Legacy portal.
  3. Coordinate with the Migration Team - Confirm with your Migration Consultant that this element of the process is well understood.

The blackout period is essential in preventing data discrepancies and ensuring that your new system reflects accurate information. During the Migration Beta, it is also essential in keeping both spaces controlled so that we can identify and mitigate any migration challenges effectively.

 

Post-Migration Verification

Once the data migration is complete, the ExamSoft Engineering team will need to verify that everything has migrated successfully. You will receive a confirmation of this verification from your Migration Onboarding Consultant. 

Following our team’s verification, your team will need to perform various post-migration portal checks tasks to ensure functionality on your end. 

You will retain read-only access to the Legacy portal and may only use it to view/generate historical data.

Plan time and resources for this verification procedure in advance, as continued faculty and student access may be necessary soon after your migration is complete.
