Legacy Portal: Add and Manage Exam-Takers

 

Procedures

 

Open the Exam-Taker Management Page

  1. Log in to the ExamSoft Portal.
  2. Select the Exam-Takers tab.

    Note: If you are an admin user, this page shows all active exam-takers. If you are not an admin user, this page shows only the active exam-takers who are enrolled in a course that you own.

 

Add a New Exam-Taker

  1. Above the list of exam-takers, select Create Exam-Taker.
  2. Enter all relevant exam-taker information.

    Note: If your institution uses single sign-on (SSO) with SAML, the External ID field must be filled in with this individual's ID for SSO (also might be called the "ePPN ID").

  3. (Optional but recommended) Select the Send Exam Taker an email checkbox to ensure that the exam-taker has their account information and can log in easily to the exam-taker portal.
  4. Select Save.

Search for and Manage Exam-Takers

  • To search: If you have admin rights, you can use the search field above the table (on the right side of the screen) to search for exam-takers by ID, email, or name. Select Advanced Search for additional options.

    Tip: If numerous columns are displayed, you'll need to scroll right to see the search options. 
  • To see all users: Select Advanced Search, select the Status list, and select All.
  • To see only inactive users: Select Advanced Search, select the Status list, and select Inactive Only.
  • To remove a column from the search results table: In the column that you want to remove, select the minus button on the right side of the column header.
  • To add a column: Select the gear icon in the top right corner of the search results area, and then select the column that you want to add.
  • To take actions for an individual exam-taker: You can take several actions by using the icons in the Actions column. 
    Tip: If numerous columns are displayed, you might need to scroll right to see the Actions column. 
    • Edit: Edit the exam-taker's information by selecting the pencil icon.
    • History: See the registration and exam history by selecting the hourglass icon.
    • Email: Send email to the exam-taker by selecting the email icon.
    • Activate: Activate the account by selecting the green +icon.
    • Deactivate: Deactivate the account by selecting the red x icon. For more information, see Legacy Portal: Exam-Taker Clean-Up
  • To take bulk actions for multiple exam-takers: To use bulk options, begin by selecting the checkbox for each exam-taker that you want to manage in this way, or select the checkbox in the header row to select all of the displayed users (on the currently displayed page). Then use the bulk action options as described below.
    • Email: Select the checkboxes for the users, and then select the envelope icon in the top right corner of the search results area.

      Note: To send an email to multiple recipients, be sure to use the email button in the top right corner. The email button within each table row will send email only to the exam-taker who is listed in that row.

    • Deactivate: Select the checkboxes for the users, scroll down below the search results table, and then select Deactivate Selected. For more information, see: Legacy Portal: Exam-Taker Clean-Up

    • Increase the maximum downloads on an assessment: 
      1. Search for the users who took this assessment. For example, you might do an Advanced Search for an assessment or a course. 
      2. Select the exam-takers.
      3. Scroll down below the search results table, and then select Bulk Edit Options.
      4. In the pop-up window, select an exam from the Assessment list. (This list will include only the assessments that were taken by all of the selected exam-takers.)

      5. Update the information.
      6. Select Update All.

       

    • Activate users:
      1. To display inactive users, select Advanced Search (above the table, on the right side of the screen).

      2. Select the Status list, select Inactive Only, and then select Search.

      3. Select the checkboxes for the exam-takers that you want to activate.
      4. Scroll down below the search results table, and then select Bulk Edit Selected.
      5. In the pop-up box, select the checkbox for Activate Selected Exam-Takers. (You might need to scroll down in the pop-up box to see the checkbox.)
      6. Select Update All.

 

Export Exam-Taker Information

  1. Use the search options to display the exam-takers that you want to include in the export file.
  2. In the top right corner of the search results area, select either the CSV icon or the Excel icon to export the information.
