Legacy: Exam Retake Missing from Portal After Examplify Upload

Problem:

An Exam-Taker (ET) or student has completed a retake of an assessment, but the submission does not appear in the Legacy Portal. The system either shows no upload or continues to display the previous attempt only.

Potential Causes:

  • The exam was reposted using the same instance instead of duplicating it.
  • The first answer file was not cleared before the retake.
  • An upload deadline is blocking the retake submission.

Solution/Troubleshooting:

Begin by identifying whether the exam was duplicated or simply reposted. Follow the appropriate steps below:

If the Exam Was Duplicated (New Instance Created)
  1. Navigate to the duplicated exam instance in the Legacy Portal.
  2. Verify the Upload Deadline has not passed. If it has, extend or remove the deadline.
  3. Instruct the ET to manually upload their answer file via Examplify.
  4. Confirm the submission appears in the duplicated exam record in the portal.
If the Exam Was Reposted (Same Instance Reused)

Legacy Portal supports only one answer file per Exam-Taker per exam instance. If the first upload was not cleared before the retake, the new attempt cannot be processed.

  1. Export desired reports of the original attempt from the portal for your records.
  2. Clear the ET’s previous upload from the Exam-Taker Activity tab.
  3. Ensure the Upload Deadline has not expired. Extend or remove it if needed.
  4. Have the ET manually upload their retake from Examplify.
  5. Confirm that the new attempt appears in the portal under the same exam instance.

Important Notes:

  • Legacy Portal does not allow multiple uploads for a single exam posting unless the previous attempt is cleared.
  • Always export and store the original attempt before clearing the answer file to avoid data loss.
  • Upload deadlines are enforced for all submissions, including retakes. Ensure deadlines are adjusted accordingly to allow upload after clearing the previous file.
