Enterprise Portal: Export Essay Questions to PDF

After exam takers complete an assessment that includes essay questions, you can export the essays to a PDF.

For example, you might want to print the PDF or extract pages from it and then distribute the essays among your graders. If you want to enable anonymous grading, the names and student IDs will be replaced by an automatically generated number (an ET ID). After the graders complete their work, you can enter the grades into ExamSoft.

Before You Begin

Create and post your assessment. Wait until the deadline has passed so that your export will include all submitted assessments.

Export the Essays from an Assessment

  1. Select the assessment that you want to export.
  2. Select the Grading tab.
  3. On the right side of the page, select the Students view.
  4. (Optional) If you want to enable anonymous grading and remove the student IDs and names from the export, set Anonymous Grading to On.

  5. Below the summary statistics, select the Export Essays link.

  6. Select the exam takers and the questions for the export.

You can select all exam takers and all questions, or narrow down the scope of the export by selecting specific exam takers and questions.

    • If there are 1000 or fewer exam takers: All exam takers and all questions are selected automatically.
    • If there are more than 1000 exam takers: All exam takers are selected automatically, but no questions are selected. Select Please select a Question to continue.

  7. Select Generate PDF to start the export process.  When the PDF is ready, an email will be sent to you.
  8. Use the email link to return to the portal. The link will open the Grading page for the assessment.
  9. Select the Export Status link.

  10. Select Download.

    • For large exports, multiple PDFs will be created. Each one will include up to 1000 responses. They can be identified based on the date and time stamp.

    • After you download a PDF, it will be removed from the Export Status page. The PDF will include the following information:
      • Course Name
      • Assessment name
      • Exam Taker Name and ID (or the ET ID, if anonymous grading is enabled)
      • Question ID
      • Question title
      • Answer

Record the Scores

If you exported the essays to be evaluated by graders, you'll need to record the scores when the graders provide them to you.

  1. In ExamSoft, select the assessment that you want to grade.
  2. Select the Grading tab.
  3. On the right side of the page, select the Students view.

  4. If this was an anonymously graded essay (with ET IDs instead of exam taker names), display the ET ID column in the table.

In the top right corner of the table, select the column icon, and then select ET ID.

  5. For the first essay in your PDF (or printout), locate the exam taker's name (or the ET ID, if anonymous grading was selected).

Note: Below is an example of an essay with an ET ID instead of the exam taker's name.

  6. Scroll to find the matching name (or ET ID) on the screen, and then select the pencil icon for this exam taker.
  7. In the list of questions, select the pencil icon for the question that you want to score.
  8. Scroll down to enter the score and (optional) comments.
  9. Select Save and Continue, and continue until you've entered all of the scores for this exam taker.
  10. Repeat the above steps to enter the scores for the remaining exam takers.
